Your contractors. Follow-up until proof. Evidence that survives the next AGM.

Close-out packs a strata committee can open in a meeting

Access control logs tell you somebody crossed the foyer. A close-out pack tells you which contractor the work order assigned, how follow-up ran until they confirmed and attended, what photos and certificates they left on the job as proof, and which insurance and licence details were on file — one click, one file, per job or per scheme-week on common property.

Built from example jobs on example common property so you can read the format before you talk to us. Nothing to install and no account needed.

What is in the pack

Follow-up on the work order and when they confirmed

Every assignment, reminder, escalation and confirmation on the work order, timestamped with the person who acted — not a thread buried in the strata manager inbox the week before an AGM.

Proof photos and documents on the job

Before and after photos, fire and essential safety outcomes, lift and plant service records, waterproofing sign-off and committee or building manager sign-off — attached to the work order and bundled in the export, not a folder assembled after owners ask questions.

Insurance and licence details for who attended

Public liability, trade licence and scheme induction details on file for the contractor firm that attended common property. OpsChase does not issue certificates of currency or regulator tickets.

Scheme queue context

Which lot or common-area asset the job served, attend-by expectations, and the details on file for that contractor firm — so the team can check them before the next booking, not at the next meeting.

Who uses it

Strata managers

One queue across schemes you manage: open common-property jobs, attend status, follow-up steps and overdue proof. You find the building that is waiting before the secretary forwards another owner email.

Building and facility managers

Lift entrapments, plant failures and roof leaks should not mean ringing three plumbers while residents circulate photos. The pack shows the contractor was assigned, followed up and closed with proof on common property.

Owners corporation committees

Motions and owner questions about who fixed the pump room or the fire indicator panel should be answered from the work order. OpsChase is not a resident amenity app — it is maintenance follow-up and export for committee records.

Common-property jobs this fits

Pumps, plant and basement flooding

Stormwater, booster sets and basement leaks with attend expectations, follow-up steps and photo proof before the job can be marked complete.

Fire and essential safety

Indicator panels, hose reels, door inspections and defect follow-ons — proof templates per trade so assessors and insurers see what was done on common property.

Lifts and escalators

Breakdown attendance, entrapment response and service records tied to the asset, not a verbal update in the lift lobby.

Roofs, facades and waterproofing

Leak investigations, membrane repairs and sign-off photos owners expect to see when levies funded the work.

Your contractors on one queue

Your contractors per scheme and trade

Send common-property jobs to the fire, lift, plumbing, electrical and waterproofing contractors you use for each scheme, and see each one closed with proof.

Contractor details on file

Insurance, licence and scheme induction details are on file for each contractor firm so the team can check them before booking — on the record, not in the building manager’s memory.

Capital works and major projects

Owners corporations track sinking and capital works funds in the accounting package they already run. OpsChase follows up on common-property maintenance work orders through to proof export. It is not Strata Hub, does not replace levy or trust accounting, and does not produce the prescribed NSW capital works fund standard form — your strata manager and accountant remain the source for fund reporting.

FAQ

What is a strata audit pack?
A close-out export for one common-property work order or a scheme-week: follow-up steps, confirmation and attendance timestamps, photos and certificates, and the insurance and licence details on file for the contractor firm. It is the handover file a strata manager or building manager can attach to committee papers.
Does this replace strata accounting?
No. Levies, trust accounting and owner ledgers stay in the strata system you already run. OpsChase runs follow-up on maintenance work and bundles proof — it does not post transactions or manage funds.
Does OpsChase prepare the NSW capital works fund standard form?
No. OpsChase does not produce the prescribed NSW capital works fund form and is not Strata Hub. Fund balances and statutory reporting stay with your accountant and strata manager; close-out packs cover executed maintenance jobs and their proof.
Can a committee open this in a meeting?
Yes. Exports are PDF or ZIP with plain headings — who attended, when attend expectations were met, and proof uploaded before the job was closed. Committees can open them in a meeting without opening the live system.
Can we keep our own contractors?
Yes. Sample packs use example schemes and trades so you can read the layout. In your account the same structure applies to your own contractors and your proof templates on common property.
