Glossary
Maintenance terms in plain English
Short guides for operators and tradies who run multi-site portfolios. Each entry explains one idea — how work is raised, chased to attendance, and closed with proof — without vendor names or heavy jargon.
- CMMS
A CMMS tracks assets, work orders and maintenance history. Learn how OpsChase extends CMMS with contractor chase, proof and RFQ for Australian operators.
- FSM
Field service management dispatches a company’s own technicians. OpsChase serves multi-site operators chasing external contractors to proof.
- RFQ
An RFQ invites quotes for scoped work. OpsChase runs RFQ blasts, comparison, award and supplier onboarding before the first work order.
- Preferred contractor
Preferred contractors are ranked vendors per site or across your group. OpsChase assigns and chases them before open market RFQ.
- Chase to proof
Chase-to-proof means escalating until contractors accept, attend and upload required evidence. OpsChase blocks complete without it.
- PPM
PPM schedules recurring maintenance on assets. OpsChase assigns PPM to preferred contractors with the same chase and proof gates as reactive work.
- SLA
Maintenance SLAs set respond and complete clocks. OpsChase tracks breaches and escalates chase ladders for Australian multi-site teams.
- Work order
A work order is the unit of maintenance work with state, assignee and proof. OpsChase ties work orders to chase and contractor compliance.
- Prequalification
Prequalification verifies contractors before work starts. OpsChase runs questionnaires, insurance checks and approvals after RFQ award.
- SWMS
SWMS documents high-risk work steps and controls. OpsChase attaches SWMS and safety artefacts to work orders and contractor records.
- Contractor compliance
Contractor compliance covers insurance, licences and inductions with expiry. OpsChase blocks assignment when documents are missing or stale.
- Multi-site maintenance
Multi-site maintenance coordinates contractors and proof across portfolios. OpsChase is built for Australian operators with many locations.
- Facilities maintenance
Facilities maintenance is keeping sites safe and working. OpsChase chases preferred contractors to done-with-proof — not another CMMS.
- Proof of completion
Proof of completion is evidence a job was done — photos, signatures, certificates. OpsChase requires it before work-complete.
- Vendor onboarding
Vendor onboarding collects compliance and references before first work. OpsChase links onboarding cases to RFQ awards and preferred lists.
- NQF QA3 upkeep
Element 3.1.2 covers well-maintained childcare premises. OpsChase evidences contractor upkeep with chase-to-proof — not approved rating software.
- Contractor WWCC / Blue Card
Maintenance contractors may need WWCC or QLD Blue Card before centre access. OpsChase gates preferred vendors by state rules — we do not issue cards.
