Who it’s for
Partners, managers and senior bookkeepers at practices that look after many client files in Xero, where the same recode, clean-up or manual journal comes up again and again and time goes on opening one organisation after another.
How it works in a practice
1
Connect client organisations
Connect each client’s Xero organisation once. They all appear in one client switcher, with read-only or posting rights set per client.
2
Open a chat on any client
Pick a client and start a chat for the job at hand, such as a year-end tidy or a recode. Keep several chats open per client.
3
Describe the fix once
Because every chat can see the whole portfolio, explain the fix once and choose the clients it applies to. No re-explaining it in each file.
4
Approve client by client
Each client gets its own before-and-after preview. A named staff member approves it, and only then does it post to that client’s Xero file.
What it does across the portfolio
Repeat work across client files, done once and checked per client.
Client switcher
Every connected client in one list. Jump from one file to the next without signing in again.
Several chats per client
Keep a chat for the file review, another for payroll coding questions and another for this quarter’s clean-up.
Manual journals across clients
Prepare the same style of journal, such as a depreciation or accrual entry, for each client that needs it.
Recoding in bulk
Move a supplier’s unpaid bills to the right account across every client where they were coded wrongly, and journal the paid ones.
Clean-ups and file reviews
Find duplicate contacts, unused accounts and odd balances across files, then fix them with a preview per client.
Per-client permissions
Keep sensitive clients read-only, let the assistant post for others, and decide who on staff can approve.
Preview, approval, audit log and undo
Each client file gets its own check, and the practice keeps one record of every change.
- A before-and-after preview for each client before anything posts.
- A named staff member approves each client’s change.
- The audit log records who asked, what changed, who approved and Xero’s response.
- Supported actions can be reversed from the log, for example voiding a manual journal.

Groundwork before tax time
The assistant does the groundwork across client files before tax time. It pulls the figures, flags issues and prepares working papers for your team to review. Advice and lodgement of tax returns and business activity statements (BAS) stay with your practice.
- Your practice gives the advice and lodges, as it does today. The assistant doesn’t lodge.
- Bank feeds and reconciliation matching stay in each client’s Xero file.
- Single Touch Payroll (STP) for each client stays in Xero.
Client data, handled carefully
Data from connected client organisations is used to run the assistant and keep the audit trail your practice needs, and nothing more.
- Client data is never used to train AI models.
- Permissions are set per client, including read-only.
- Each client’s changes and approvals stay in its own log.

Questions from practices
- Can one fix go to many client files at once?
- Yes. Describe the fix once and it is prepared for every connected client file it applies to, with a preview per client, a log and undo. Each client’s change posts only after it is approved.
- Can some clients stay read-only?
- Yes. Set read-only or posting rights per client, so sensitive files follow the rules your practice already keeps.
- Who approves changes?
- Staff members you give approval rights to. Each client’s change waits in its preview until one of them approves it.
- Does it lodge BAS for our clients?
- No. Your practice lodges as it does today. The assistant prepares the figures and working papers for your team to review.

On the demo we connect a few client organisations, describe one recode, preview it for each client and approve it, then open the audit log to show the undo.
